Before You Start

Completing this task requires some jumping back and forth between two accounts. To help the work go smoothly, open your Google account in one browser tab and your Groove account in another.

 

Configuring Groove Settings

The first step is to set up your Groove Inbox.

  1. Go to your Groove account, click on your avatar in the top right and head to settings:


  2. Select Add a channel in the top right:


  3. Select Email, and then Other email client:


  4. To continue with setting up forwarding, click Other email client again:

 

In the next window, fill in two fields.

  1. Enter a unique name for the Groove Inbox. This internal reference helps you quickly understand the source of incoming messages.
  2. Enter the alias email address that will send messages to this Groove Inbox.
  3. Click Next Step.



  4. Go to the Groove window (see screenshot below) and copy the unique Inbox address. Now get ready to leave this browser tab - but don’t close it.

 

 

Setting Up Gmail Forwarding

Go to the browser tab with your open Gmail account.

  1. Click the Settings (gear) icon in the top right corner of the page.
  2. Click See all settings.



  3. On the next page, click Forwarding and POP/IMAP → Add a forwarding address.



  4. In the popup window, paste in the Groove Inbox address and then click Next.



  5. In the popup window, click Proceed.



  6. Go back to the browser tab with the open Gmail account and click OK in the new popup window.

 

Note: ensure that you disable forwarding (the forwarding happens in the filtering step below):


Linking Accounts

Go back to the browser tab with the open Groove account.

  1. Open the Groove Inbox and locate the verification message from Gmail.
  2. Click the link to confirm the request (BTW The confirmation message references your original Gmail account).



  3. Click Confirm again in the next window. Gmail displays a success message.

 

 

Creating a Filter

The next step is to create a Gmail filter. This filter finds emails sent to the alias address and then forwards those messages to your Groove Inbox.

  1. On the Gmail Settings page, click Filters and Blocked Addresses → Create a new filter.




  2. Paste the Gmail alias address into the To field and then click the Create filter button.



  3. Check the Forwarding box and then click the Choose an address field.

 

  • The Groove Inbox address auto-populates the field. Click Create filter.

 

  • The main Gmail Settings page displays. It shows the filter, the Gmail alias address, and your Groove Inbox address.

 

 

Completing the Integration

Go back to the browser tab with your Groove account.

  1. Select the Inbox and click Complete setup button.
  2. In the popup window, click I’ve setup my email forwarding.



Groove sends a test message. If successful, two events happen.

  1. The test message appears in the Gmail alias account.
  2. Groove displays a popup window that lets you add members to the Groove Inbox. This is an optional step, and you can always add team members later. Learn more.

 

 

Checking the Results

When the connection completes, Groove removes the warning icon from the Inbox name but does not display the test message.

  • To verify the connection, I sent a test message from a third-party account to the Gmail alias address. That message (subject Check999) appears in the Inbox and confirms the email forwarding works properly.
